ABOUT THE WELLBEING SUMMIT

WHAT IS THE WELLBEING SUMMIT?

The Wellbeing Summit for Social Change is the first global three-day event bringing together social change, governmental and business leaders from around the world to advance individual and collective wellbeing for those working on the front lines of social change.

Topics will range from the neuroscience of wellbeing, to environmental belonging, to intergenerational trauma, and how to encourage healthier organisational cultures.

Art is at the heart of the event, with a spectacular program of visual and performing arts presented in partnership with renowned international arts organizations and partners.

WHEN WILL THE WELLBEING SUMMIT TAKE PLACE?

The event will take place from June 1 to June 3, 2022.

WHERE WILL THE WELLBEING SUMMIT TAKE PLACE?

The Wellbeing Summit for Social change will be a multi-venue event in the city of Bilbao-Bizkaia.

Bilbao-Bizkaia (often anglicized as Bilbao-Biscay) is a province of northwest Spain within the autonomous region of the Basque Country. The province, which sits roughly 400km north of Madrid and 600km west of Barcelona, straddles the Nervión river from the Cantabrian Sea to the Pyrenees Mountains to the east.

The city of Bilbao, located 16km from the Bay of Biscay, is its beating heart and its largest city.

WHY THE WELLBEING SUMMIT?

We believe that wellbeing is the defining cultural force of the 21st century. By convening social change, governmental, arts and business leaders from around the world, we believe that we can advance individual and collective wellbeing for those working on the front lines of social change.

WHO IS ORGANIZING THE WELLBEING SUMMIT?

The Wellbeing Summit is organized principally by The Wellbeing Project. Co-created with Ashoka, Impact Hub, Porticus, the Skoll Foundation, Georgetown University and the Synergos Institute, The Wellbeing Project aims to catalyse a culture of inner wellbeing for all changemakers. We are inspired by love, care and compassion for all the people who work to build a better world, as well as to support the many causes and movements for which we are commited. PRINCIPLES AND VALUES

DIVERSITY, EQUITY, INCLUSION

We are excited about the conversations and experiences that are possible when we are brought together and hosted in all our rich diversity. These are the spaces that inspire, open us to new ways of thinking, hold us in honest conversations, build the relationships that make true social change possible. The Wellbeing Summit for Social Change is weaving the gathering with this spirit and taking this into account across our overall program, the experiences, the way we connect the local and the global, the speakers, the artists, and the attendees. We are dedicating significant resources to ensure access and inclusion to The Wellbeing Summit and other related programming. Most of all, and with humility, we recognize that this is a learning journey and we continue to deepen our understanding of how to do this well.

SUSTAINABILITY

Sustainability is embedded into the core of our strategy together with the pro bono consultancy of one of our partners. We are developing a sustainability plan which include a detailed sustainability footprint audit, creative and innovative solutions to reduce our negative impact and a reporting process which (include carbon, circularity and social footprints. The results will be presented transparently after the Summit, nevertheless we are already aware that in this first edition of the Summit we will not be able to accomplish 100% our sustainability goals. For the Summit in 2022 we are undertaking some pro-active actions to reduce our impact and we will compensate our carbon footprint. Our ambition for TWBS24 is to go a step further by analysing in detail the footprint of the first edition and lower it wherever possible.

CO-CREATION PROCESS

The Wellbeing Project and Summit are co-created projects and we are dedicated to continuing the co-creative process for the design and implementation of The Wellbeing Summit. We see co-creation as a form of collaborative innovation: ideas are shared and improved together. This sharing of ideas can take many shapes and forms, but all with the goal of acquiring a deeper collective understanding, through two-way, open and honest dialogue. We have built the Summit through engaging with the communities of the Project and it remains a work in progress. In addition to our co-creator institutions, partners and community members, we are glad to invite everyone to help us create The Wellbeing Summit. CODE OF CONDUCT

TWBS is committed to an environment free of harassment, discrimination, and threatening or disrespectful behavior. It is important to us that all attendees are able to participate fully in our programming. We will not tolerate harassment in any form at our events. We reserve the right to remove any person who violates our Code of Conduct from attending current or future events, and to cancel an individual’s registration without refund.

If you experience or witness what you feel is harassment or inappropriate behavior at the Summit, please report it immediately to summit@wellbeing-project.org.

CONFERENCE PROGRAM

WHAT CAN I EXPECT IN TERMS OF CONTENT AND FORMAT?

Our sessions will highlight the connections between individual, organizational and societal wellbeing. Speakers will delve into how a deeply embedded culture of wellbeing can alter and inform our approach to driving positive systemic change.

The conference is split across three days and will include ground-breaking talks, conversations and panel discussions with cultural, scientific, governmental and social change leaders from around the world. Topics will range from the neuroscience of wellbeing, to environmental belonging, to intergenerational trauma, and how to encourage healthier organizational cultures.

We also offer break-out sessions and intimate workshops that will give tools for meaningful action and impact. Inspiring and creative immersion labs will pair artists and speakers for deep-dives into broader topics.

There will be ample opportunity for networking. We aim to enable further collaboration and innovation in the community by building and deepening relationships between everyone.

ARTS PROGRAM

WHAT CAN I EXPECT IN TERMS OF CONTENT AND FORMAT?

The vibrant, multi-disciplinary program will feature visual art exhibitions and newly commissioned installations as well as music, theater and dance performances by internationally renowned artists. There will also be artistic “walks” to meet participating artists and explore the event's exhibitions and individual works in museums, public spaces around the city, and on the streets of Bilbao.

Immersive artworks, combined with the exceptional layout of major cultural establishments throughout the city of Bilbao, will take guests on an emotional and interactive journey to experience and understand personal and collective wellbeing. This is an innovative approach to foster healing and the discovery of our inner selves in relationship to the world around us.

In the lead up to the visionary artistic program, many of the artists participate in creative residencies or planning and research visits in the city, as part of the creative process to develop art that challenges assumptions and builds community at a local and global level.

INVITATION AND PARTICIPATION

HOW CAN I ATTEND THE WELLBEING SUMMIT?

Participants of this event will attend largely by invitation to ensure that we bring together a diverse, representative and pluralistic community of attendees. If you would like to apply to participate, indicate your interest by completing this form.

We are committed to creating a warm, diverse, and inclusive environment for all attendees. We all benefit when there are many different perspectives present. To do so, we request all delegates to submit an application. We then review all the applications based on criteria including (but not limited to) unique perspective based on background, role related to social change, interest in the topic of wellbeing, and more. Based on that review invitations are then sent out to register for the event. The Wellbeing Summit is offering scholarships and grants to organizations in order to ensure all organizations and individuals have the opportunity to participate and contribute to the future of wellbeing. We are particularly focusing that support on people from the Global South and from diverse backgrounds. If you need that support please do reach out to us as well.

IS THERE A FEE TO ATTEND THE WELLBEING SUMMIT?

Yes, there is a fee, ranging from €750 to €2000 (VAT not included).

The in-person attendance fee is determined by the sector in which the delegate works. There is no ‘early bird’ registration. The intention is to make the event as accessible as possible.

If you have received the invitation to attend then your fee has already been calculated and will be clearly stated in your invitation email.

WHAT’S COVERED FINANCIALLY?

Upon completion of the registration form and payment of the delegate fee (where applicable), attendees will be issued with their Wellbeing Summit for Social Change admission details. Delegates will have access to all of the events taking place throughout the course of the Summit.

Snacks and refreshments will be available in the Homebase, and in addition, delegates will be issued with a limited number of restaurant vouchers to use for one daily meal at local participating restaurants and eateries. On Wednesday, June 1, all delegates are invited to a standing dinner prior to an amazing artistic experience and on Friday, June 3, a gourmet picnic box will be distributed to all delegates.

The intention is to make the event as accessible as possible, therefore, your invitation email will also include the coverage level of flights/accommodation if applicable.

WHAT IS VAT AND WHY IS IT BEING ADDED TO MY FEE?

Valued-Added Tax (VAT) is a form of consumption tax. As per the Spanish government, we are required to charge 21 percent VAT for each registration purchased for The Wellbeing Summit. Some delegates may be eligible to obtain a refund of this VAT from the Spanish government by submitting a valid claim within the statutory deadline.

CAN I GIVE MY TICKET TO SOMEONE ELSE IF I CANNOT ATTEND?

The Wellbeing Summit is an invitation only event, and therefore if you are not able to attend, we’ll ask that you let us know so that we can reissue your ticket.

WILL VIRTUAL PARTICIPATION BE POSSIBLE?

The Wellbeing Summit team is currently exploring options to present elements of the event through an event web and mobile platform. Virtual participation will be free and open to everyone, and registration will open shortly before the event.

WHAT ARE THE COVID-19 ENTRY REQUIREMENTS?

We are truly excited to come together as a group, and the intention is to do so in a way that is safe, comfortable and considerate of our community.  Please note that in hosting the The Wellbeing Summit in Bilbao, we will adhere to all local, regional and national Covid-19 restrictions applicable to such a gathering and we will not require any additional restrictions.

This means that at this moment attendees either have to have the vaccine, have recovered from Covid-19 in the last 6 months or have a local accepted Covid-19 test.

Please note that denial of entry into Spain due to incorrect vaccination status will not result in the refund of your registration fee. 

WILL MY FEE BE REFUNDED IF THE WELLBEING SUMMIT IS CANCELED DUE TO COVID?

We are confident that we will be able to gather in person and share an unforgettable experience with you, nevertheless we’re aware that the current pandemic situation requires that we are ready for different possible scenarios. If we have to go fully virtual due to COVID-19, your registration fee will be refunded to you (including handling fee).

WILL MY FEE BE REFUNDED IF I AM UNABLE TO ATTEND DUE TO COVID?

All registration fees for The Wellbeing Summit for Social Change are fully refundable through Sunday May 1, 2022. If you have to cancel after this date due to COVID related reasons, your ticket will be refunded upon receipt of a positive PCR test certificate. Please note that the total ticket price will be refunded minus the handling fee. The handling fee varies depending on whether the payment was made with a European credit card (1.2% + 25 cents) or a non-European credit card (2.9% + 25 cents).

On Wednesday evening, dinner will be provided at the cocktail party. On Thursday evening, delegates will make their own arrangements for dinner. On Friday, a gourmet picnic box will be distributed to all delegates at lunchtime.

ONSITE PRACTICAL INFORMATION

HOMEBASE

The Homebase is found at Euskalduna, and will open to delegates on Tuesday May 31 at 1pm. Then throughout the duration of The Wellbeing Summit, the Homebase will be open between the hours of 8.30am to 7pm.

The Homebase will be a place to work, to connect, to relax, to take a moment to breathe, or to grab some light refreshments. The open space is ideal for conversations, to organize small group meetings, or to work alone on our comfortable sofas. Extending onto the outdoor terrace, we hope that the weather gods will be kind enough to permit the wonderful views over the Nerviòn River. Don’t forget your camera!

EUSKALDUNA INFOPOINT

Euskalduna Infopoint will open to delegates on Tuesday May 31 at 1.00 pm, and will be located next to the entrance of Euskalduna. Then throughout the duration of The Wellbeing Summit, it will be staffed between the hours of 8:30am - 7:00pm. If you have questions related to schedule, directions, etc., the staff at the infopoint will be able to help you or point you in the right direction.

ARE CHILDREN WELCOMED AT THE WELLBEING SUMMIT?

We believe that children of all ages will be able to enjoy and appreciate the wonderful arts experiences during The Wellbeing Summit, and these are available free of charge. See the full Arts Program.

Delegates who wish to attend with their children, please note that the speaking sessions and related smaller group offerings are not considered suitable for children in general. We define children as under-14, so any young budding social actors over the age of 14 are welcome to attend with a special ‘youth rate’ of €100+VAT. Please contact us to have an invitation issued.

Through local hotels and institutions, we are able to provide a list of local childcare services. These services are neither endorsed nor personally recommended by anyone at The Wellbeing Summit. Guests using these services do so at their own discretion.

FILMING AND RECORDING

CAN I FILM AND TAKE PHOTOGRAPHS DURING THE SESSIONS?

Photos and video for personal or social media purposes are allowed and encouraged. Streaming sessions is not allowed. Sessions will be made available online after the Summit. When posting on social media, please tag #TWBS22 and The Wellbeing Project.

WILL I BE FILMED OR HAVE MY PHOTOGRAPH TAKEN DURING THE SESSIONS?

A professional film crew will be present throughout The Wellbeing Summit. Upon registration, delegates must agree to the following statement; By attending The Wellbeing Summit for Social Change, I authorise The Wellbeing Project, The Wellbeing Project’s agents, successors, assigns and designees to record my name, likeness, image, voice, sound effects, interview and performance on film, tape or otherwise, edit such recording as The Wellbeing Project may desire, and incorporate such recording into a film, any versions of a film, and related materials thereof, including, but not limited to, promotion and advertising materials. The Wellbeing Project shall retain final control over the film and photos and may use them in all markets, manner, formats and media/social media in perpetuity.
